How To Leverage Data To Plan Bigger And Better Events

Event Management Tools, Event Returns How To Leverage Data To Plan Bigger And Better Events 2 min read April 13, 2020 Facebook-square X-twitter Google-plus-g Pinterest Linkedin Envelope There is no dearth of stress in the life of an event manager. With every event you host, the pressure mounts to make the next one bigger, better, and more exciting. However, planning and managing a bigger and better event doesn’t have to be stressful as you can leverage data to help you in this. How data can give you an edge in planning better events? Every event that you host creates tonnes of data for you. This data, when analyzed in the right way can give you insights about how successful you were and also how you can get better.  Let us see how you can collect data and analyze it to improve yourself. Sign up vs. number of attendees This is the easiest data to collect and make use of. These two metrics give event managers valuable information. The comparison between the number of signups and attendees will tell you how successful you were. If the signup numbers are high it indicates your marketing activities paid well. However, if the attendance was significantly low you have to find out why some people couldn’t attend the event. There can be simple reasons like they couldn’t find the time. There can be another reason that they changed their mind because the event didn’t excite them sufficiently. This is where you have to look closely and work hard to make your events more compelling for everyone to attend. Analyze your online content Your event app or website contains loads of data that you can leverage. Use tools like Google Analytics to find out how much time your viewers are spending on your website. You can get data related to the time they spent on a particular page, the bounce rate and conversion rate. Armed with this information, you can easily decipher which content was most liked and led to the conversions. Feedback surveys Collecting feedback surveys has become the norm nowadays. In most cases, the participants fill this up at the end of the event or submit it through emails or event app after a few days. This qualitative data has to be analyzed carefully to know what the attendees felt about the event. You can get their feedback on the quality of the venue, the speakers, how the participants enjoyed or what did they like most. You can always include questions like how to improve or what they expect from you in the future. This is the area where you need to focus to make your events more interesting and successful. The social media A wealth of information is waiting here to be unearthed.  Take a note of the things people are saying about the event. Are these comments positive or negative? What do they think about the topics or the entertainment quotient? A lot of data is available at your disposal that can help you to plan better events. There are event apps, like those by HostEvent, that provide a lot of information and even surveys for event managers. Use all these data sources to plan your next event and see how people rave about it. Choosing The Right Event Venue

Event Management Tools, Event Returns Choosing The Right Event Venue 2 min read April 13, 2020 Facebook-square X-twitter Google-plus-g Pinterest Linkedin Envelope One of the most challenging parts to planning any event is the selection of the venue to host it in. It’s complicated and easy at the same time. Well, that is if you know what you are looking for and how to get it when you need it. Here are a few helpful tips to aid with that. 1 – When To Start Looking For The Venue? If you haven’t already booked one, you really need to work on this part as early in the process as you can. Once you have a budget, an estimation on how many people will be attending the event and the amount of space needed to hold the event, you can start looking for the venue. 2 – The Location Depending on where you live and the community the event is being hosted in, you may not have as much to choose from as in other places. The location of your event can be either indoor or outdoor, but has to be within a distance that is reasonable for the attendees to travel. 3 – The Parking The number of vehicles that are going to be used by those who attend your event need to have a place to sit. You may need additional parking if the venue does not provide enough spaces. Or, you may want to provide rides to and from your event to ease up on parking. 4 – The Capacity You will have to closely monitor the limits in place for the venue. This is because local fire regulations will dictate how many people you will be able to legally – and safely – fit into the space you booked for this event. Ignoring these codes is irresponsible regardless of the event. 5 – The Amenities If your event is going to require food, then you may want to book a venue that has a kitchen. Plus, will you need tables, chairs and linens for your event? Some venues have these and others don’t. If your event requires audio/visual, the venue should have this capability as well. 6 – The Insurance Don’t forget that your event should have insurance coverage. In fact, if you don’t have this, your list of available venues becomes very small in a hurry. Your local insurance broker can give you the advice on how to best cover your event protecting all parties involved. 7 – The Cost Your budget is going to be able to assist most with the question as to whether or not you can afford to host your event. However, if that is not a problem, then you will need to work out payment arrangements and date – or alternate dates – with the venue owner/booking agent. Need Some Additional Assistance? Finding a venue for a special occasion is a lot easier than it may first appear. There are several online event apps that can do pretty much anything related to the planning and execution of a special event. If you have taken care of all the important steps as part of your organization leading up to the actual day of the special occasion, everything should go well. Event Promotion Tips

Event Management Tools, Event Returns Event Promotion Tips 2 min read April 13, 2020 Facebook-square X-twitter Google-plus-g Pinterest Linkedin Envelope So you’ve got your event all planned, event app launched and the date is drawing near. Everything has fallen into place without a problem so far. But what if no one attends? Well, you have to take a hard look at the promotion of your event. There should be a fair chunk of change set aside in the budget that is specifically earmarked for advertising and promotion. Here’s how you should spend it. 1 – Newspaper Advertising Sure, you may think that a printed newspaper is so old school that no one reads them anymore. Well, that is simply not true. Plus, if the newspaper you place your ad in also has an online version, be sure to get your event ad in there as well because that will give you tremendous exposure. 2 – Posters/Signs Speaking of an old school, you just can’t miss with something as obvious as a poster or sign promoting your event. What gets you the best mileage out of these marketing tools is placement. Be sure to post them in busy areas so more eyes get to see them. 3 – Social Media You can’t ignore the fact that most everyone spends time online. One of the most cost effective ways of reaching them in through social media marketing. In other words, paid advertising on places like Facebook, Twitter and Instagram. Producing a video that can be uploaded to YouTube or any other sharable site can also generate interest in the event you have planned. 4 – Email Another great way to reach people and promote your event is through an email marketing plan. Essentially, you are sending an invite to your event to people through email to their inboxes. It is an effective tool provided you ensure that the subject line is catching or your email may not be opened. Following up with another email notice a few days before the event as a reminder also helps. 5 – Snail Mail Speaking of mail, direct mail is not extinct like dinosaurs. People still go to the post office to pick up letters, junk mail and some parcels. With an attractively designed flyer you can send them to as few or as many people as you wish through the postal service. 6 – Home Delivery If your event is intended to attract a wide audience, you may want to look at having fliers or mail outs delivered directly to the door of each person in the target demographic. Sometimes a personal touch such as a home visit with an invitation left behind can do wonders when you are trying to connect with those on the invite list. You Have To Get The Word Out Somehow Marketing an event takes planning and a budget that can cover the methods you choose to employ. Not all are as expensive as you may think, and all of the suggestions listed here are worth exploring if you want to have a good turn out for your event. Event Planning Tips

Event Management Tools, Event Returns Event Planning Tips 2 min read April 13, 2020 Facebook-square X-twitter Google-plus-g Pinterest Linkedin Envelope Hey, if you are thinking about planning some kind of event, you are going to discover a lot about yourself and your abilities in a very short hurry. While it takes a fair deal of organizational skills to pull off even the smallest of special events, these skills will also be required for bigger activities, celebrations and other such events. But don’t worry, we’ve got a simple list of event planning tips that will save you a lot of time and at least as much stress. 1 – The Pre-Event Plan Before you can start to plan an event, you need to know a few things. Simple stuff like, what kind of event are you planning? The reason for the celebration will give you much of the direction you need in order to make all the parts fit together and create an awesome event. You need to have an idea of the number of people you expect to attend and you have to remember that the event is meant to be fun and a place where friends can gather and have a good time. 2 – The Checklist This is your road map. The checklist will not only keep you on track but it will be your constant reminder of the things you need to do. Once a task is completed, stroke it off the list and move on to another one. 3 – The Budget You need to have enough money set aside to cover all costs. A budget gives you a foundation to use when ordering, booking and spending. The budget can be flexible but it should also be specific as to what part of it is for what aspect of the event. 4 – The Venue Depending on if the event will be providing food, beverages and anything else – like a day long seminar of guest speakers – you have to have the right place reserved to hold all of the event activities. Indoor or outdoor events will require very different venues. 5 – The Menu If your event is going to provide food and drinks, you have to have your options planned well in advance. Will you be serving a meal or just snacks? Will there be alcoholic beverages available? What serving method will be used (plates, buffet, etc.)? 6 – The Marketing If this is a public event, you need to have a strategy in place to advertise this party if you expect people to attend. You have to have an idea of the type of people you are trying to attract to this event. Once you do, target your promotional efforts for the best effect. 7 – The Entertainment Whether your event features music or guest speakers, you need to book this part of your event far in advance. Agents and managers representing these people will be your contact. Don’t Forget To Have Fun It may sound like a lot of work putting together an event, but the dividends are far greater than you may think. Good event planning produces successful events!
